ESIC Sub-Code Registration — Branch-Wise Rules Explained
Employers expanding to a new city often ask this — do we need a fresh ESIC sub-code for every branch, or can one registration cover the whole state?
Generally, yes — a sub-code is required for each branch operating in a location different from the one covered by the principal (main) code, whether the new location is in the same state or a different one. ESIC does not automatically consolidate coverage state-wise. The real trigger is whether the branch falls under a different Regional/Sub-Regional ESIC office's jurisdiction.
Principal Code vs Sub-Code
The Principal/Main Code is the 17-digit ESIC registration for the employer's head office or the location where the establishment first becomes coverable. The Sub-Code is an additional registration linked to the main code, issued for a branch, sales office, depot, or unit at a location outside the jurisdiction of the office that issued the main code.
When You Actually Need One
→ A sub-code is needed wherever a branch falls under a different Regional/Sub-Regional office — within the same state or across states
→ If multiple branches fall under the SAME office's jurisdiction, a single registration can often suffice without a separate sub-code per unit
→ The branch must also independently meet the employee-strength/coverage threshold for the sub-code requirement to apply
How to Apply
→ Log in to the ESIC Employer Portal with existing main-code credentials
→ Navigate to branch/sub-unit registration and provide address proof, activity details, and employee data
→ The application routes to the ESIC Regional/Sub-Regional Office with jurisdiction over the new location
→ On approval, ESIC issues a new sub-code linked to the main code, with separate login credentials for that unit
→ Each sub-code unit files its own monthly returns — but the principal employer stays responsible for consolidated compliance across all codes
→ On closure, intimate ESIC and formally surrender the sub-code
No Blanket State/District Rule
There's no statutory provision granting automatic state-wide or district-wide coverage. Registration is fundamentally establishment/location-based, tied to jurisdiction — unchanged under Chapter IV of the Code on Social Security, 2020.
